What it is
The visual design of the sales PDFs sent to the customer: quotes, orders, delivery notes and invoices. Each template controls which data is shown, in what order, with which colours, which columns and which fonts.
You can create several templates (by language, by country, by type of customer) and choose the default one in Customisation.
Available on the PRO plan.
What it is for
- Designing the look of the sales PDFs (quote, WO, delivery note, invoice).
- Deciding which details of the issuer (your company) and of the recipient (the customer) are printed.
- Choosing the columns of the line table and which totals appear in the footer.
- Adding a logo, a watermark, margins and your own fonts.
- Defining the default email (subject, body, CC, BCC) used to send each document.
- Assigning the default template used for each type of document.
How to use it
- Go to Settings → Customisation → Print templates.
- The opening menu shows the list of templates and the default template selectors for each type of document.
- Click a template to open its preview (the PDF on the right, the controls on the left).
- Click Configure Template to enter edit mode and work through the tabs (General, Page, Logo, Header, Watermark, Body, Totals and footer, Email, Font style).
- Every change refreshes the PDF preview instantly.
- Each switch (show/hide) has a short visible description underneath explaining what it is for, so you do not have to hover over it or try it out. That explanation used to appear only as a tooltip.
- Each switch also carries its own icon for the concept it controls (for example, a label icon on Quote, a material icon on Substrate, a clock icon on Price per hour), instead of the same eye / crossed-out eye on every one. The icon tells you what it controls; the state (Show / Hide) is shown on the switch itself.
- Within each tab the controls are grouped into blocks with their own heading (for example Identifiers, Product, Amounts in Detail columns), so you can find them faster.
- Click Save Change to store the design.
- To create one from scratch, use Create New Template; to start from an existing one, use the Duplicate icon.
1. Identifying the template
The template name is on the General tab, Template section ("The name you will identify it by"). The document name is on the Page tab, Sheet section.
| Field (text on screen) | Where it is | What it is for |
|---|---|---|
| Template name | General → Template | Identifying name (e.g. "2025 design", "VAT invoice design"). |
| Document name | Page → Sheet | Name of the type of document printed as the title (e.g. Invoice, Delivery note). |
1.b PDF design (theme of the line table)
The PDF design block shows several cards with a thumbnail of how the line table of the PDF looks. Click a card to choose the design; the selected card is marked with a tick. It only changes the style of the table (header, thickness and colour of the rules, spacing between rows, capitals), not the data. The themes differ in: a coloured band on the header row (some themes), rules, a box around each row (one theme) and spacing. The coloured background only appears on the header row; data rows never have a background.
| Theme | What it is for |
|---|---|
| Current | The design your template already had. It is the default value and changes nothing on existing templates. Grey header with a thin rule underneath and a closing rule. No band and no box. |
| Editorial dark | Black header band with white text in capitals and with letter spacing. Strong rules. A bold, editorial look. |
| Corporate | Header band in the brand blue with white text. Blue rules and a closing rule. A clean, professional branded look. |
| Minimal | No band. A single very thin hairline rule, the header in lower case with generous letter spacing and plenty of air between rows. Extremely understated. |
| Boxed | A box and separators around every row, header in navy blue. The look of a classic structured table. |
| Compact | Small type and rows very close together with a thin accent rule. Many lines fit on a page; ideal for long documents. |
The chosen theme is applied to the whole document consistently, not just to the line table: the issuer/recipient header (the labels and the separating rule under EMISOR / DESTINADO A) and the separating rule between product lines take the colour and thickness of the theme. With the Current theme the header and the separators stay as they always were (grey). The header bands of the Editorial dark and Corporate themes are now more compact (less tall).
You can also change the PDF style by asking the template AI assistant for it by name: "give me the editorial style", "use the corporate theme", "make it minimal", "boxed theme", "compact style" or "go back to the classic/current style". The assistant applies the theme to the preview straight away.
2. Page format (Page tab)
The Page tab has three sections: Sheet, Header and footer and Margins and spacing. The Detail style section is on the Body tab (on WO templates it is still on Page).
Sheet ("Name, orientation and size of the document")
| Field (text on screen) | What it is for | Default |
|---|---|---|
| Document name | Name of the type of document printed as the title (Invoice, Delivery note...). | — |
| Orientation | Portrait or landscape. | Portrait |
| Sheet size | Standard format (A4, A5, A3, THERMAL_80MM...). It sets the width and the height automatically. | A4 |
| Width | Read only. Width of the sheet in cm according to the chosen size. | — |
| Height | Read only. Height of the sheet in cm according to the chosen size. | — |
Header and footer ("Height of the top and bottom bands")
| Field (text on screen) | What it is for |
|---|---|
| Header height | Height of the top block, in points (pt). |
| Footer height | Height of the bottom block, in points (pt). |
3. Margins and spacing (Page tab)
Everything in points (pt). The notice "Maximum 50 pt on each value" is the subtitle of the section. The values are split into three subgroups: Header and footer, Detail and Table interior.
Header and footer
| Field (text on screen) | What it is for |
|---|---|
| Top | Top margin of the header. |
| Bottom | Bottom margin of the page footer. |
| Left | Left margin of the header. |
| Right | Right margin of the header. |
Detail (independent of the header)
The detail margin is absolute and independent: it is the distance from the edge of the page to the line table, with no relation to the header margin. What you type is what is applied.
| Field (text on screen) | What it is for |
|---|---|
| Left | Left margin of the line table, from the edge of the page. Independent of the header. |
| Right | Right margin of the line table, from the edge of the page. Independent of the header. |
Table interior
Spacing inside the cells of the line table (it is not a page margin).
| Field (text on screen) | What it is for |
|---|---|
| Horizontal | Space inside the cell to the left and to the right of its contents. |
| Vertical | Space inside the cell above and below its contents; it gives more or less air between rows. |
The Left and Right fields appear twice with the same name (in Header and footer and in Detail): what tells them apart is the subgroup they sit under. They used to be called "Left margin of the header", "Left margin of the detail", and so on.
Currency (symbol and conversion factor)
On the General tab, Currency section ("Symbol and conversion of the amounts"), you can make this document show the amounts in a currency other than the global currency settings. It is a per template setting: each template can have its own currency (for example one in euros and another in dollars).
| Field (text on screen) | What it is for | Default |
|---|---|---|
| Symbol | Symbol printed next to the amounts (€, $, £, USD...). If you leave it empty, the symbol from the global currency settings is used. | Empty |
| Conversion factor | Multiplies every amount on the document (unit price, subtotal, taxes, totals) by this number. 1 = no conversion. Example: with a factor of 1.08 an amount of 100 is printed as 108. | 1 |
Notes:
- The factor only affects how that template's PDF is displayed. It does not change the saved sales data, nor the percentages (discount, tax %), nor the quantities; only the monetary amounts.
- If the factor is left at
1(or empty) and the symbol is empty, the document uses exactly the global currency as before.
4. Logo
Logo tab, Logo section ("Image and size in the header").
| Field (text on screen) | What it is for |
|---|---|
| Document logo | Loads the company logo that appears in the header (it overrides the global one). |
| Size | Slider to adjust the size of the logo (50-300px). |
5. Issuer (your company)
These controls are on the Header tab, Issuer section ("Your details. Clear the title to hide the block"). They are a block title plus show / hide switches for each piece of data:
| Control (text on screen) | What it is for |
|---|---|
| Issuer block title | Text heading the issuer block (EMISOR by default). If you leave it empty, the whole section is hidden and its switches disappear. |
| Legal name | Show or hide the legal name. |
| Trading name | Show or hide the trading name. |
| VAT number | Show or hide the VAT number. |
| Address | Show or hide the address. |
| Show or hide the contact email. | |
| Phone | Show or hide the phone number. |
| Website | Show or hide the website. |
| Issuer sales rep | Show or hide the name of the sales rep in charge. |
Important: each switch only turns on the corresponding row; the content comes from your company details (Company details, under Settings → Company). A piece of data with its switch on Show but empty in Company details is not printed (the row is left out). That is why you can have every switch on and still see a single line in the header: the rows whose company detail is empty (for example Legal name or Trading name left blank) do not appear. The fix is to fill those fields in under Company details. The same applies to the Recipient section: its content comes from the customer record, not from the template.
6. Recipient (customer)
Header tab, Recipient section ("Customer details. Clear the title to hide the block"):
| Control (text on screen) | What it is for |
|---|---|
| Recipient block title | Text heading the customer block (DESTINADO A by default). If you leave it empty, the whole section is hidden and its switches disappear. |
| Legal name | Show or hide the customer's legal name. |
| Trading name | Show or hide the customer's trading name. |
| VAT number | Show or hide the customer's tax number. |
| Customer reference | Show or hide the customer's own number or reference (the Reference field on their record). It comes out in front of the name, in the format referencia - nombre. |
| Document reference (Document subgroup) | Show or hide the reference written on the quote/sale; it is printed next to the document date, not in the customer block. |
| Address | Show or hide the customer's address. |
| Contact | Show or hide the customer's contact person. |
| Show or hide the customer's email. | |
| Phone | Show or hide the customer's phone number. |
| Website | Show or hide the customer's website. |
Issuer and Recipient use the same field names (Legal name, VAT number, Address...). What tells them apart is the section you are in: Issuer is your own details, Recipient the customer's.
7. Watermark
Watermark tab, Watermark section ("Background image repeated across the document").
| Field (text on screen) | What it is for |
|---|---|
| Watermark | Loads the background image repeated across the whole document (e.g. BORRADOR, COPIA). |
| Size | Slider to adjust the size (50-500px). |
| Opacity | Slider for the transparency (0-100%). |
8. Detail columns (Body tab)
Detail columns section ("Which columns are shown in the line table"). One switch per column; each one adds or removes that column from the PDF. They are split into three subgroups: Identifiers, Product and Amounts.
Identifiers
| Column (text on screen) | Notes |
|---|---|
| Item | Sequential line number (1, 2, 3...). |
| Quote calculation | Id of the linked quote calculation. |
| Quote | Id of the quote. |
| Work order | Id of the WO. |
| Delivery note | Id of the delivery note. |
| Invoice | Id of the invoice. |
Product
| Column (text on screen) | Notes |
|---|---|
| Name | Name of the product. |
| Image | Thumbnail of the product. |
Amounts
| Column (text on screen) | Notes |
|---|---|
| Quantity | Units on the line. |
| Unit price | Price per unit. |
| Price | Price of the line. |
| Subtotal | Subtotal of the line before discount and taxes. |
| Discount | Discount column/row (it only appears if it is greater than 0%). |
| Tax | Tax on the line (VAT / IGIC). |
| Total | Total of the line. |
| Due date | Due date. |
9. Artwork description (content of each line)
Artwork description section ("Text that goes with each line") on the Body tab. Which information from the quote appears under the name of the product:
| Control (text on screen) | What it is for |
|---|---|
| Product note | Show or hide the text written on the product. |
| Quoting description | Show or hide the description from the quote. It has to be switched on in the operation as well ("Switch on show in PDF in the operation to be able to see it"). |
| Artwork note | Show or hide the note on each piece of artwork. |
What the description includes — a subgroup that only appears if "Quoting description" is on:
| Control (text on screen) | What it is for |
|---|---|
| Creation date | Includes when it was created. |
| Size | Includes the printing size. |
| Substrate | Includes the printing material. |
| Ink | Includes the inks used. |
| Extras | Includes the extras applied. |
9.b Detail style (Body tab)
The last section of the Body tab.
| Control (text on screen) | What it is for | Default |
|---|---|---|
| Line between items | Shows or hides the rule separating each item of the detail. | Show |
10. Footer totals (Totals and footer tab)
Totals section ("Rows of the totals block"), the first one on the Totals and footer tab. One switch per row of the totals block:
| Control (text on screen) | What it is for |
|---|---|
| Subtotal | Show or hide the subtotal row (the sum before discount). |
| Discount | Show or hide the discount row (only if it is greater than 0%). |
| Taxable base | Show or hide the taxable base row (the base the tax is applied to). |
| Tax | Show or hide the row with the tax amount. |
| Total | Show or hide the row with the final amount of the document. |
The totals block follows the theme chosen in PDF design:
- With the Current theme the totals are printed as always: a plain list with no header and no coloured band (the label on the left, the amount on the right).
- With the Editorial dark, Corporate, Minimal, Boxed and Compact themes the totals use the same design as the line table: a header with two columns Concept / Amount (with the same coloured band, capitals and spacing as the theme), a thin rule under the header and a closing rule, and the Total row highlighted.
On every theme the tax/discount percentage goes inside the same label (e.g. 21 % VAT), not in a separate column.
10.b Tracking (Header tab)
Tracking section, below the issuer and recipient details on the Header tab.
| Control (text on screen) | What it is for |
|---|---|
| Tracking QR | Adds the QR code the customer uses to check the status of their WO without going into the application. It requires the Full plan. The real QR is only printed on documents attached to an order; on the preview of the sample template a placeholder "QR" box is shown. |
11. Document footer (Totals and footer tab)
Below the Totals, the Totals and footer tab has two more sections: Document footer ("Fixed text at the bottom of every page") and Footer content.
| Field (text on screen) | Where it is | What it is for |
|---|---|---|
| Document footer | Totals and footer → Document footer | Free text that appears at the bottom of every page (legal details, policies, bank account). |
| Payment terms | Totals and footer → Footer content | Switch (Show / Hide), on by default. Shows or hides the Payment terms block in the footer, which prints the text of the customer's payment terms. With the switch on Hide the document comes out without that block even if the payment terms have text. |
| Document note | Totals and footer → Footer content | Show or hide the general text of the document (the general notes on the document). |
| Customer bank account | Totals and footer → Footer content | Switch (Show / Hide), off by default. Prints the bank account of the customer themselves (the one on their record) above the Payment terms. It is shown partially: the last 4 digits are hidden (e.g. ES91 2100 0418 4502 0005 13 **) for data protection, with the same grouping in fours as your own company account. Meant for SEPA direct debits, so the customer knows which bank they will be charged through. Do not confuse it with your company's bank account (see below). |
Bank account / IBAN on the document
There are two different accounts that can appear on the document, and they should not be confused:
- Your company's account (for collection): if the document (quote, order, delivery note or invoice) has a bank account attached, its IBAN is printed automatically in the footer, next to the Payment terms, without you having to type it. Along with the IBAN, the Bank, the Account holder and the BIC are shown if they have been filled in. The account printed is the one on the document itself; if the document has no account of its own, the default account of its payment terms is used. If neither the document nor the payment terms have an account, nothing is printed. Accounts are managed in the account catalogue and are assigned per document or per payment terms.
- The customer's account (for direct debit): controlled with the Customer bank account switch on the Totals and footer tab, Footer content section. It is filled in on the customer record and printed partially (last 4 digits hidden) above the Payment terms. It is there so the customer can identify the account the SEPA direct debit will be taken from.
12. Attached email (documents only)
Email tab, Email template section ("Default values when sending the document"). What is filled in by default when you send the PDF by email:
| Field (text on screen) | What it is for |
|---|---|
| Default CC | Email addresses added by default in CC (separated by ;). |
| Default BCC | Email addresses added by default in BCC (separated by ;). |
| Default subject | Default subject of the email. |
| Email body | Template for the body of the email. An editor with a formatting bar and an AI Assistant button (auto_awesome icon) to write it by describing it in plain language. It accepts the variables &DOC& (name of the document), &CLIENTE& (name of the customer) and &NUMERO& (number of the document), which are substituted on sending. The AI requires the PRO plan. |
13. Font style (typography)
Font style tab, Font style section ("Size, line height, colour and emphasis by type of text"). For each text element of the document:
| Attribute (text on screen) | What it is for |
|---|---|
| Size | Font size in points. |
| Line height | Line height in points. |
| Colour | Colour of the font. |
| Normal / Bold | Applies or removes bold weight. |
| Normal / Italic | Applies or removes italic style. |
The Reset styles button (restart_alt icon, top right of the section) returns all the typography to its default values. It does not save automatically: it refreshes the preview and you decide whether to save.
Each block has a readable name and a short description telling you which part of the document it controls. Only the styles the type of template you have open actually uses are listed (document or WO); the rest stay hidden. The notice in the section reminds you that the background colours in the preview are only there to help you locate each piece of text and do not come out on the final document.
On document templates (quote, order, delivery note, invoice, ticket):
| Element (text on screen) | Which part of the document it controls |
|---|---|
| Document title | The large heading: "Quote", "Order", "Invoice"… |
| Table header | The column titles of the line table. |
| Customer details | The "Destinado a" block with the customer's details. |
| Table value | Cells of the line table (small text). |
| Table value (large) | Highlighted cells of the line table. |
| Line description | The detail under each line (size, substrate, ink…). |
| Terms (footer) | Text of the terms at the bottom of the document. |
| Artwork text | Notes and information about the artwork. |
| Operation name | Name of each operation in the line detail (bold by default). |
| Totals | Total amount and subtotals of the document. |
On WO templates there are also Section title (headings such as "Cost breakdown"), Bold text and Secondary text (labels and values of the detail blocks), and the ones the WO does not use are hidden (Table value, Table value (large), Artwork text, Totals). On the WO, Operation name controls the "Operación: …" line of the Operations section.
Options specific to the WO (Work Order)
They only appear on WO templates. They are on the WO settings tab (sections What the order includes and Artwork specifications) and the Cost fields tab (sections Cost breakdown, Breakdown columns and Breakdown totals).
What the order includes (WO settings tab)
Subtitle: "Blocks that appear on the WO document". Document blocks subgroup:
| Control (text on screen) | What it is for |
|---|---|
| Header | Shows or hides the header with the issuer and the recipient, as on the sales documents. Switching it on also brings up the Page and Header tabs. |
| Header only at the start | Prints the header once only, instead of repeating it on every piece of artwork. It only appears if Header is on. |
| Task summary | Shows or hides the summary of tasks at the start, for each quote. |
| Job manager detail | Shows or hides the job manager assigned to each task. |
| Tracking QR | Switches on the QR the customer uses to check the status of their WO (requires the Full plan). The real QR is only printed on documents attached to an order; on the preview of the sample template a placeholder "QR" box is shown (there is no order to point at). |
Artwork specifications (WO settings tab)
Subtitle: "Rows of the detail for each piece of artwork". Split into three subgroups: What is printed, Substrate and Operations.
What is printed
| Control (text on screen) | What it is for |
|---|---|
| Artwork | Shows or hides the name of the artwork. |

|---|---|
| Cost breakdown | Shows every cost of the quote on the WO. Requires the Pro plan. Switch it on to bring up the Breakdown columns and Breakdown totals sections. |
Breakdown columns ("What is shown on each cost line"), Columns subgroup:
| Control (text on screen) | What it is for |
|---|---|
| Quantity | Units on the line. |
| Unit price | Price per unit. |
| Price | Price of the line. |
| Price per hour | Price per hour on operations charged by time. |
| Subtotal | Subtotal of the line. |

Operator mode — a subgroup with a single two-position switch:
| Control (text on screen) | What it is for |
|---|---|
| Time only, no amounts | A switch with two positions: Amounts (the amounts are printed) and Time only (on operations charged by time it keeps the time and hides its cost). Raw materials, extras and totals are untouched. Meant for the copy that goes to the shop floor. |
Breakdown totals ("Rows at the foot of the breakdown"):
| Control (text on screen) | What it is for |
|---|---|
| Total cost | The sum of every cost. |
| Subtotal | Only if the document has been saved. |
| Tax | Only if it has been saved and VAT applies. |
| Total | Only if the document has been saved. |
Default templates (opening menu)
At the top of the menu, under Default template to add, there is a card for each ready-to-use starter template. There are six, one per type of document: Quote Template, Order Template, Work Order Template, Delivery Note Template, Invoice Template and Ticket Template (the last one with 80 mm thermal paper size). Each card comes with two actions:
- Add (+ icon): click the card to add an editable copy of that template to your own templates.
- Create with AI (auto_awesome icon, violet gradient): opens the AI assistant taking that template as the starting point, so you can describe in plain language how you want it and the AI refines it on the right type of document (invoice, delivery note, WO…). Requires the PRO plan.
Each starter template already comes set up for its type: the Invoice one shows the tax details and all the prices and totals; the Delivery Note one shows product and quantity with no prices; the Work Order one shows the WO header and the task summary with no prices.
Underneath, you choose which template is used by default for each type of document:
| Field (text on screen) | What it is for |
|---|---|
| Quote (in the Default templates section) | Template used by default when printing a quote. |
| Work order (in the Default templates section) | Template used by default when printing a work order. |
| Delivery note (in the Default templates section) | Template used by default when printing a delivery note. |
| Invoice (in the Default templates section) | Template used by default when printing an invoice. |
| Ticket (in the Default templates section) | Template used by default when printing a ticket. For it to come out in ticket format, assign it a template whose Sheet size (Page tab → Sheet section) is THERMAL_80MM (80 mm roll) or THERMAL_58MM (58 mm roll); the PDF adapts the header, the margins and the notes to the width of the roll automatically. It is edited with the same template editor as the rest of the documents. |
| Print footer | Which company details come out in the footer: nothing, the legal name, or the legal name + the trading name. |
Buttons and actions — what each one is for
The literal text on screen. For the toggles, both states are documented.
| Button / Control (text on screen) | What it is for |
|---|---|
| Generates the PDF and opens it in the PDF viewer so you can print it. | |
| Configure Template | Switches to edit mode to adjust the template (only visible if you are in document/preview mode). |
| Reset to default (restart_alt icon, General tab → Template section) | Returns the template you are editing to the factory settings for its type of document (Quote, Order, Ticket, Work Order, Delivery note or Invoice), keeping its current name. It asks for confirmation before replacing. It is the escape route when you have left the template in a state you do not like. It does not save automatically: it refreshes the preview and you decide whether to save. |
| Send by Email | Opens the modal to send the generated PDF by email. |
| Save Change | Saves the changes to the template in the database (only visible in configuration mode). |
| Close | Closes the current modal. |
| Create New Template | Opens the modal to create a new template from scratch. |
| Create with AI (auto_awesome icon) | Opens the AI assistant to generate a new template by describing it in plain language; the AI preloads the editor and you review it and save. Requires the PRO plan. |
| AI Assistant (box, auto_awesome icon) | A box inside the editor where you describe how you want the template or what to adjust; the AI applies the changes to the design straight away on the preview. Iterative. Requires the PRO plan. |
| Save | Saves the default template settings and the print footer (opening menu). |
| Duplicate (icon) | Copies the selected template, creating a new one with the same settings. |
| Modify with AI (auto_awesome icon) | Uses AI to apply the same change to all the selected templates at once (in bulk). You describe the adjustment in plain language and the AI applies it to each template, keeping its name and its type; it updates the existing templates (it does not create copies). Requires the PRO plan. |
| Delete (icon) | Deletes the selected template after confirming in a modal. |
| Reset styles (restart_alt icon, Font style tab) | Returns all the typography of the template to its default values. It refreshes the preview; saving is still manual, with Save Change. |
| Show / Hide (switch on each field) | State Show = the data/column is printed · state Hide = it is hidden. Each switch carries its own icon for the concept it controls (no longer the same eye / crossed-out eye) and a short visible description underneath of what it is for. |
| Amounts / Time only (WO switch) | The two positions of the Time only, no amounts switch under Cost fields → Operator mode. Amounts prints the amounts; Time only keeps the time on operations charged by time and hides their cost. |
| Normal / Bold (toggle) | Bold = text in bold · Normal = normal weight. |
| Normal / Italic (toggle) | Italic = text in italics · Normal = no italics. |
Key concepts
- Template (print): a reusable configuration of format, styles and visible fields used to generate printed documents (quotes, invoices, delivery notes, work orders). It defines the visual look and which customer/product data is shown.
- Default templates: the section where you choose, for each document (Quote, Work order, Delivery note, Invoice, Ticket), the template used automatically as the starting point when creating a new document of a given type (quote, WO, delivery note, invoice). It saves you setting up the format every time.
- Print footer: the company information that appears at the bottom of the document. It can be shown empty, with the legal name only, or with the legal name + the trading name.
- Orientation: the direction of the page: portrait or landscape.
- Sheet size: the standard page format (A4, A3, A5, THERMAL_80MM...). It sets the Width and the Height automatically, and both are read only. It used to be called "Type of sheet".
- Sheet: the section of the Page tab with the document name, the orientation and the size.
- Header: the top section of the document with the logo, the Issuer details (your company) and the Recipient details (the customer). On WO templates it is also the Header switch under What the order includes, which turns the whole thing on or off.
- Page footer: the bottom section of the document, which can carry custom text, legal details or contact information. Its height is set with Footer height.
- Margins and spacing: the section of the Page tab that gathers every spacing value, in three subgroups: Header and footer (Top / Bottom / Left / Right), Detail (Left / Right) and Table interior (Horizontal / Vertical). Maximum 50 pt on each value. The Detail margins are independent of those of the header: each one is an absolute value from the edge of the page, they are not added together.
- Table interior: the spacing inside the cells of the line table (Horizontal at the sides, Vertical above and below). It is not a page margin: it gives more or less air inside the table.
- Detail style: the section with the Line between items switch, which separates each item of the detail. On sales documents it is on the Body tab; on WO templates, on Page.
- Payment terms: the footer block with the text of the customer's payment terms. It is always shown as long as the payment terms have text, unless the Payment terms switch under Totals and footer → Footer content is set to Hide.
- Watermark: a semi-transparent background image repeated across the whole page (e.g. BORRADOR, COPIA). It is adjusted with Size and Opacity.
- Issuer: the details of the company issuing the document: legal name, trading name, VAT number, address, email, phone, website, issuer sales rep. The switches on the Header tab → Issuer section only turn on each row; the content comes from Company details. A detail that is switched on but empty in Company details is not printed (the row is left out) — the usual reason for a header coming out incomplete or with a single line. The Issuer block title (EMISOR by default) heads the block; if you clear it, the section disappears.
- Recipient: the details of the customer receiving the document: legal name, trading name, VAT number, reference, address, contact, email, phone, website. The same as the issuer: the switch turns on the row and the content comes from the customer record, not from the template. Its label is the Recipient block title (DESTINADO A by default). This section used to be called "Sender details".
- Artwork description: the descriptive text of the specifications of each quoted product: size, substrate, ink, extras, creation date. It appears on the PDF under the name of the product. What goes into it is chosen in the What the description includes subgroup, which only appears if Quoting description is on.
- Detail columns: which columns are shown in the line table of the PDF. They are grouped into Identifiers (Item, Quote calculation, Quote, Work order, Delivery note, Invoice), Product (Name, Image) and Amounts (Quantity, Unit price, Price, Subtotal, Discount, Tax, Total, Due date).
- Template groupings: within each tab the switches are split into blocks with a heading (Identifiers, Product, Amounts, What the description includes, Document blocks, What is printed, Substrate, Operations, Columns, Operator mode...). The heading of the block is what tells apart fields with the same name (for example Left in Header and footer vs in Detail).
- Switch description: the short text every template switch shows under its name, explaining what it is for. That explanation used to appear only as a tooltip on hover. Each switch also carries its own icon for its concept instead of the same eye / crossed-out eye.
- Operator mode: the subgroup of Cost fields (WO templates) with the Time only, no amounts switch, which has two positions: Amounts or Time only. On Time only the operations charged by time keep the time and their cost is hidden; raw materials, extras and totals are untouched.
- Font style: the visual settings of the text: size (pt), line height, colour, weight (normal/bold) and style (normal/italic). It is applied to each element (headings, labels, data...).
- WO (Work Order): an internal document for managing production. It has options of its own under What the order includes (Header, Header only at the start, Task summary, Job manager detail, Tracking QR), Artwork specifications and Cost fields (Cost breakdown, Breakdown columns, Operator mode, Breakdown totals).
- Tracking QR: the QR code the customer scans to see the status of their work order in real time, without going into the application. Requires the Full plan. The switch used to be called "Generate QR for access to the WO status".
- Cost breakdown: the switch on the Cost fields tab of WO templates that prints every cost of the quote. Requires the Pro plan. Until you switch it on, the Breakdown columns and Breakdown totals sections do not appear.
- Point (pt): a typographic unit of measurement. 1 point = 1/72 of an inch. It is used for font sizes, margins and section heights.
- Document currency (Currency symbol + Conversion factor): a per template setting to show the amounts in another currency. The symbol replaces the one in the global settings on that template only (empty = use the global one); the conversion factor multiplies every monetary amount on the document (1 = no conversion). It only affects how the PDF is displayed, not the saved data nor the percentages/quantities.
- Subtotal: the sum of the prices of every line, with no discounts and no taxes.
- Total cost: the Breakdown totals row on WO templates with the sum of every cost.
- Taxable base: the amount the tax is calculated on. It is normally the subtotal less discounts.
- Discount: a percentage reduction or a fixed amount off the price. It is only printed if it is greater than 0%.
- Create with AI: the button (auto_awesome icon) on the opening template menu that opens the assistant to generate a new template by describing it in plain language. The AI generates the settings and opens the editor with them preloaded without saving; you review the preview and click Save Change if you are happy. Requires the PRO plan.
- AI Assistant: a collapsible box (auto_awesome icon) inside the template editor (configuration mode), above the tabs. You describe an adjustment in plain language and the AI applies it to the form straight away on the preview; it is iterative (you can keep asking for changes) and it applies directly, with no confirmation. It can touch the page, margins, logo and watermark size, separating rules, company/customer details, columns, totals, WO settings, header and footer texts, the email and the typography; it does not upload images (neither the logo nor the watermark), it only changes their size. Requires the PRO plan. Saving is still manual.

Frequently asked questions
Q: What is the Configure Template button for?
A: It switches from the preview to edit mode. It only appears when you are looking at the document; clicking it opens the configuration tabs (General, Page, Logo, Header, Watermark, Body, Totals and footer, Email, Font style). To save what you adjust, click Save Change.
Q: How do I create a new template?
A: On the template menu click Create New Template to start from scratch, or use the Duplicate icon on an existing one to copy it with the same settings and change it.
Q: How do I create a template with AI?
A: On the opening menu click Create with AI (auto_awesome icon), next to Create New Template. In the Create template with AI modal describe in plain language how you want it (e.g. "formal A4 invoice with a large logo", "minimalist 80mm thermal ticket"); there are suggestion chips to get you started. The AI generates the settings and opens the editor with them preloaded without saving: review the preview and click Save Change if you are happy. Requires the PRO plan.
Q: Can I change a template with AI instead of working through the tabs by hand?
A: Yes. Inside the editor (configuration mode), above the tabs, use the AI Assistant box (auto_awesome icon). Describe the adjustment (e.g. "make the logo bigger and take the QR off", "hide the image column") and the AI applies it to the form straight away; the preview updates. It is iterative: you can keep asking for changes. It applies directly, with no confirmation, but Save Change is still manual. Requires the PRO plan.
Q: What can and cannot the AI Assistant change?
A: It can adjust page size/orientation, margins, logo and watermark size, separating rules, which company/customer details are shown, the detail columns, the totals, the WO settings (header, summary, costs, job manager, QR), the header and footer texts, the email template and the typography (size/colour/bold/italic by type of text). It cannot upload images (neither the logo nor the watermark): you upload those by hand, although it can change their size. Settings tied to a plan (the Cost breakdown of the WO requires Pro and the Tracking QR requires Full) are flagged if your plan does not allow them.
Q: Can I change the style/theme of the PDF by asking the AI assistant?
A: Yes. In the AI Assistant box ask for it by name: "give me the editorial style", "use the corporate theme", "make it minimal", "boxed theme", "compact style" or "go back to the classic/current style". The AI selects that design and the preview updates straight away. The six styles are: Current (classic), Editorial dark, Corporate, Minimal, Boxed and Compact. You can also choose them by hand in the PDF design block.
Q: How do I change the logo on one template only?
A: Open the template, click Configure Template and, on the Logo tab, Logo section, use Document logo. Adjust the size with the Size slider (50-300px). That logo overrides the global one from Company details on that template only.
Q: I cannot see the option to upload the logo / I cannot find where to upload it, where is it?
A: This is the most common one: the Logo tab only appears in edit mode, not on the preview. The full steps:
- Open the invoice template (or the quote/delivery note one) from Print templates. You will see the preview of the PDF.
- Click the Configure Template button. This is the step people usually skip: until you click it, the tabs are not shown.
- The tabs now appear (General, Page, Logo, Header, Watermark, Body, Totals and footer, Email, Font style). Go into Logo.
- Use Document logo to load the image and the Size slider to adjust it (50-300px).
- Click Save Change to keep it.
Q: I have already uploaded the company logo, but it does not come out on the invoice, how do I switch it on in the template?
A: There is no "enable logo" switch: the logo is printed if there is an image loaded. Check these two things:
- Global logo: it is uploaded in Company details → Logo. It is the one used by every document and email.
- That template's logo: in the template, Configure Template → Logo tab → Document logo. You only need it if you want a different one from the global one on that particular document.
If you have already uploaded the global one and it does not appear, open the template, check that the Size slider in the Logo section is not at its minimum and click Save Change. The template AI assistant cannot upload the image for you (it only changes the size): loading the file is always manual.
Q: Can the AI Assistant put a logo in for me?
A: No. The AI does not upload images: the logo and watermark fields are loaded by hand. The AI can change the Size of the logo and the watermark settings (size, opacity) of a logo that has already been uploaded. To upload it use Configure Template → Logo tab → Document logo.
Q: I want to hide the Unit price column on my quotes.
A: On the Body tab of the quote template, Detail columns section → Amounts subgroup, set the Unit price switch to Hide.
Q: What is the watermark for?
A: It is a semi-transparent background image repeated across the whole page. Typical uses: printing "BORRADOR" on quotes that have not been accepted, or "COPIA". Upload it on the Watermark tab with the Watermark field and adjust the Size and Opacity sliders.
Q: How do I add the customer's tracking QR to the WO?
A: On a WO template, WO settings tab → What the order includes section → Document blocks subgroup, switch on Tracking QR. The customer scans the QR and sees the status of their order in real time. Requires the Full plan. On sales document templates the same switch is under Header → Tracking. It used to be called "Generate QR for access to the WO status".
Q: I want a fixed text in the footer with my bank details.
A: On the Totals and footer tab, Document footer section, type the text. It will appear at the bottom of every document generated with that template.
Q: How do I take the payment terms off the quote?
A: In the template, Totals and footer tab → Footer content section, set the Payment terms switch to Hide and click Save Change. It comes on out of the box: while it is on Show, the document carries the text of the customer's payment terms whenever those payment terms have text.
Q: I cannot find the Columns and totals tab or the Footer tab, where are they?
A: They were reorganised. The columns and the description of each line are now on Body, together with Detail style (which used to be on Page). The Totals moved to the start of the Totals and footer tab, which also carries the Document footer and the Footer content (Payment terms, Customer bank account and Document note). The Tracking QR is under Header → Tracking.
Q: What is the Print footer field for?
A: It controls which company details come out at the bottom of the document: nothing, the legal name only, or the legal name + the trading name. You choose it on the opening template menu.
Q: What is a default template?
A: It is the template used automatically when you create a document of a given type. On the opening menu you assign the Default Quote / Order / WO / Delivery note / Invoice Template; that way you do not have to choose the design every time.
Q: Can I have several invoice templates?
A: Yes. Create as many as you need with different names. Assign the main one in Default Invoice Template; the rest are chosen by hand when printing.
Q: How do I change the colour or the size of the text on the PDF?
A: On the Font style tab, adjust the Size, Line height and Colour for each element, and use the Normal / Bold and Normal / Italic toggles for the style. If you have lost your way, the Reset styles button returns all the typography to its default values.
Q: How do I set up the email the invoice is sent with?
A: On the Email tab, Email template section, fill in Default subject and Email body. In the body you can use the variables &DOC& (name of the document), &CLIENTE& (name of the customer) and &NUMERO& (number of the document), which are substituted on sending; the field also has an AI Assistant button to write the body by describing it in plain language (requires the PRO plan). Add fixed copies in Default CC and Default BCC (separated by ;).
Q: Why will it not let me delete a template?
A: The Delete icon removes the template after confirming, but it cannot delete one that is assigned as a default. Take it off the default template selectors first and try again.
Q: I hid the issuer label and the whole section disappeared. Is that correct?
A: Yes. If you leave the Issuer block title (or the Recipient block title) empty, that whole section is hidden and its switches disappear too. Type a title for it to come back. Both fields used to be called "Indicate the issuer of the document".
Q: I have the header details (issuer) switched on but only one line comes out on the document, with no name and no legal name.
A: The switches on the Header tab → Issuer section only turn on each row; the content comes from your company details, not from the template. If Legal name or Trading name are switched on but those fields are empty in Company details (Settings → Company), those rows are not printed and the header only shows the details that are filled in (hence "only one line"). The fix: go to Settings → Company → Company details, fill in Legal name and Trading name (and anything else you want shown) and save. The issuer header will be complete the next time you generate the document. The same applies to the Recipient section: its data comes from the customer record, not from the template.
Q: I print a delivery note and the header says "FACTURA" instead of "Delivery note".
A: The title is set by the template itself, not by the type of document. Go into the delivery note template → Page tab → Sheet section → Document name, and type "Delivery note". Each type (quote, WO, delivery note, invoice) should have its own template with its own name, assigned as the default for its type. (The Template name field, under General → Template section, is a different thing: it is only there to identify it in your list.)
Q: I change the font size of the footer, I save it, but when I open the document it goes back to the previous size.
A: The size of the footer is changed on the Font style tab, on the Terms (footer) element, not in the text editor. Adjust it there and save.
Q: Not all the footer text comes out (data protection notice, registry details); it is cut off.
A: Adjust Footer height on the Page tab → Header and footer section: raise it until all the text fits. If the text looks black or oddly formatted, delete it, paste it into a plain text editor first and paste it back in to strip the HTML formatting.
Q: Is the detail margin added to the header margin?
A: No. The margins in the Detail subgroup are independent: each one is an absolute value from the edge of the page. If you put 10 pt in Left (Detail subgroup, Margins and spacing section of the Page tab), the detail sits 10 pt from the edge, whatever the header margin is. To line the detail up with the header, put the same value in the Left of Header and footer and in the one under Detail.
Q: Where are the margins now? They used to be called "Top margin of the header", "Left margin of the detail"...
A: They are all together on the Page tab, Margins and spacing section (subtitle "Maximum 50 pt on each value"), split into three subgroups: Header and footer (Top, Bottom, Left, Right), Detail (Left, Right) and Table interior (Horizontal, Vertical). The old long names were shortened; what tells you which is which is the heading of the subgroup.
Q: What is Table interior (Horizontal / Vertical) for?
A: It is the spacing inside the cells of the line table, not a page margin. Horizontal separates the text from the sides of the cell; Vertical separates it above and below, so it raises or lowers the air between rows. It is on the Page tab → Margins and spacing → Table interior subgroup.
Q: I cannot find an option, I think it used to be called something else. Were the names changed?
A: Yes, the template names were shortened and the controls are now grouped into blocks with headings. The most common changes: "Basic template settings" → Template (in General) and Sheet (in Page); "Type of sheet" → Sheet size; "Issuer details" → Issuer and "Sender details" → Recipient; "Column data" → Detail columns; "Total data" → Totals; "Artwork description" → Artwork description; "Upload your logo" → Document logo; "Upload your watermark" → Watermark; "Basic document settings" → Add to the document, which was then split up: the Tracking QR moved to Header → Tracking and the Customer bank account to Totals and footer → Footer content; the "Columns and totals" tab is now called Body (with the Detail style that used to be on Page) and the "Footer" tab is Totals and footer (the Totals moved there, right at the top); "Basic WO document settings" → What the order includes; "Generate QR for access to the WO status" → Tracking QR; the default emails → Default CC, Default BCC, Default subject and Email body. The options are the same: only the name and the grouping changed.
Q: What is each switch on the template for? I used to have to hover over it.
A: Not any more: each switch shows a short visible description under its name telling you what it does, and carries its own icon for its concept (label, material, clock, euro...) instead of the eye / crossed-out eye that was repeated on every one. The state is still Show / Hide on the switch itself. The switches are also grouped into blocks with headings (Identifiers, Product, Amounts, What is printed, Substrate, Operations, Operator mode...) so you can find them sooner.
Q: I want the copy of the WO that goes to the shop floor to carry the times but not the prices.
A: On the WO template, Cost fields tab: switch on Cost breakdown (Pro plan) and, in the Operator mode subgroup, set the Time only, no amounts switch to the Time only position. Operations charged by time keep the time and their cost is hidden; raw materials, extras and totals are untouched. The other position is Amounts.
Q: The name of the PDF file does not match the number of the document.
A: Fixed: the PDF is downloaded with the real number of the document. If you still see an old name, refresh the page to load the latest version.
Q: Is there a starter template ready for each type of document?
A: Yes. Under Default template to add you have six starter templates, one per type: Quote, Order, Work Order, Delivery Note, Invoice and Ticket. Each one already comes set up for its type (the invoice one with the tax details and all the prices; the order one with prices and totals like the quote; the delivery note one with product and quantity and no prices; the WO one with the header and the task summary). Click the card to add an editable copy, or use its Create with AI button to start from it and refine it by describing what you want.
Q: I want to create an invoice/delivery note/WO with AI, not a quote.
A: Under Default template to add, click the Create with AI button (auto_awesome icon) on the card for the type you want (Invoice, Delivery Note, Work Order…). The assistant starts from that template, already tailored to the type, and refines it with whatever you ask for. Requires the PRO plan.
Q: Can I change several templates at once with AI?
A: Yes. In the table of templates select the ones you want and use the Modify with AI action (auto_awesome icon). You describe the change once (e.g. "make the logo bigger and hide the image column") and the AI applies it to all the selected ones, keeping the name and the type of each. It updates the existing templates, it does not create copies. Requires the PRO plan.
