What it is
How the Tasks module behaves (shop floor / operators): which starting status new tasks have, which operator they are assigned to by default, and the customised status workflow (10 editable statuses).
Options
| Field | Type | What it is for | Default |
|---|---|---|---|
| Default status | Selector (Status0 ... Status9) | The starting status of a newly created task. | Status0 |
| Default user | Selector | The operator that new tasks are automatically assigned to when the operation, machine or guillotine does not have a manager of its own. The first option, No user, leaves tasks without a global owner. | No user |
| Add lines as tasks | Toggle | If it is on, each line of an order or work order automatically becomes an independent task (ideal if you work at line level). If it is off, only the whole order is the task. | Off |
| Names of the 10 statuses | Text × 10 | Custom labels for the 10 statuses of the workflow. | Generic (Status 0... 9) |
The 10-status workflow
The system lets you configure 10 statuses to represent the full production cycle of a job. Some typical examples:
| Status | Typical name |
|---|---|
| 0 | Pending |
| 1 | Queued |
| 2 | In design |
| 3 | On the machine (printing) |
| 4 | Cutting (guillotine) |
| 5 | Laminating / later operation |
| 6 | Packed |
| 7 | Ready for delivery |
| 8 | Delivered |
| 9 | Invoiced / Archived |
You decide the names according to your own workflow. Each status also carries a configurable colour and order (defined at the level of the ConfiguracionCalendario table).
Where these statuses are seen
- On the Tasks screen — for the operators.
- On the Direct portal — the end customer sees these statuses while tracking their order (with your custom colours and names).
Permissions
- Requires
auto_edit.
Frequently asked questions
Q: How do I create and change the statuses of the production orders?
A: In Settings → Customisation → Task manager. The system works with 10 editable statuses (Status 0 to Status 9): in Names of the 10 statuses you write the label for each one according to your workflow ("Pending", "In design", "On the machine", "Cutting", "Ready", "Delivered"…). Each status also carries a configurable colour and order. Those labels are the ones you see on the Tasks / Job Organiser screen and the ones the customer sees on the Direct portal. No new statuses are created beyond the 10: you combine or simplify stages within those 10. The Default status sets which status a new task is born with.
Q: How do I customise the names of the statuses?
A: Right here, in Names of the 10 statuses. You have 10 editable fields (Status 0 to Status 9). Write "Pending", "Cutting", "Ready", etc. according to your workflow.
Q: Do the statuses also appear on the customer portal?
A: Yes. Whatever you put here is what the end customer sees on the Direct portal when you share the tracking link for their order with them.
Q: When I create a new task I want it to go to an operator automatically.
A: There are two levels. 1) By type of task: each Operation, machine and Guillotine has its own Default user field (manager); tasks of that type are automatically assigned to that person when the job is accepted. 2) Global: the Default user on this screen is used when the task has no manager of its own. The manager set per operation, machine or guillotine takes precedence over the global one. To assign nobody by default, choose No user.
Q: The system does not automatically assign the person in charge of the task (for example, assembly is not assigned to its manager).
A: Check that the person is set as Default user on the record of that operation (Operations screen), machine or guillotine. The assignment is worked out when the Job Organiser is opened, using the manager in force at that moment: if you have only just assigned them, the pending jobs will pick them up the next time you open the organiser. If they still do not appear, check that the user is active and open a ticket with the work order number.
Q: What happens if I have more than 10 stages?
A: The system supports exactly 10. Combine several similar stages into a single status or simplify the workflow.
Q: Can I change the colours of the statuses?
A: The colours are set in the calendar settings (each status carries its colour). If you do not have visible access to the colour editor, contact support.
Q: My work order comes out empty / with no tasks. What should I check?
A: Go through this in order: 1) that the Add lines as tasks toggle is on (if it is off, the task is the whole order, not each line); 2) that the quote has accepted lines or products (if you only accepted part of it, only the lines marked go forward); 3) that the product creates tasks and has operations attached to it; 4) that the work order was created through the right flow (accepting the quote). If it is still empty after all that, open a ticket with a screenshot.
Q: A task stays on hold / stuck and does not move on. What do I do?
A: Check whether it is missing an assignment (operator or user), a machine or an operation, whether the user has permission to handle it, or whether it depends on a previous status that has not been completed yet (the Task Status is granular by machine and operation). If it is none of those or it keeps happening, document the case with a screenshot and pass it on to support.
Q: Who receives the status notifications for a job?
A: The automatic notifications sent on a status change go out if there are templates and recipients configured. Who receives them (the customer or an internal address) depends on that configuration of notifications and contacts. If you are not sure whether an alert goes to the customer or to an internal address, check the notification settings before switching automatic sending on; if you cannot find where, open a ticket saying which alert you want.
