Delivery lead times

Catalogue of the delivery lead times your print shop offers for quoting, each with the surcharge it applies to the final price of the job.

A catalogue of the delivery times available for quoting, with the surcharge each one applies to the price.

What it is for

  • Define every delivery lead time your company offers (for example "Immediate delivery", "5 days", "Urgent 24h").
  • Charge a surcharge for urgency, either as a percentage of the cost or as a fixed amount.
  • Mark a lead time as default so that it is proposed when creating products.
  • Enable or disable lead times without deleting them, so that they do or do not appear in the pickers.

How it is applied when quoting

  • When a quote uses a lead time, the surcharge is one more cost of the job: the system adds the Percentage surcharge on top of the total cost of the job (all artwork, guillotine included) and the Fixed surcharge as an additional cost, once per quote even if it has several pieces of artwork. The sale price is then obtained by applying the product margin, exactly as with any other cost: this is why the surcharge also raises the final price, and with several pieces of artwork it is spread between them in proportion to what each one contributes.
  • If the product has a default lead time with a surcharge, that surcharge is already included in its price table; when you choose a different lead time, the price is adjusted in the same proportion as the cost changes.
  • If the special lead time "To be advised" is chosen in the quoting engine, three editable fields appear (days + surcharge % + surcharge €) that override those of the catalogue for that particular quote.

Buttons and actions — what each one is for

Literal text exactly as it appears on screen. The toggles have two states; both are documented below.

Key concepts

  • Delivery Lead Time: a delivery time setting (in days) applied to products and quotes. It includes surcharge options (percentage and fixed amount) and can be marked as the default.
  • Days: how many days delivery takes with that lead time. 0 means immediate delivery.
  • Percentage surcharge: price increase applied as a percentage of the base cost when this lead time is used. It is there to charge for urgency.
  • Fixed surcharge: price increase as an absolute amount, independent of the base cost, when this lead time is used.
  • Status: indicates whether the lead time is active (available to choose on products and quotes) or inactive (hidden, cannot be used but is not deleted).
  • Default on product: when a lead time is marked as the default, it is selected automatically when creating new products, saving you reconfiguration. In this section it is for information only; the effective default is set in Customisation → Product Settings.

Frequently asked questions

Q: How do I create a new delivery lead time?

A: Click Add. The Delivery Lead Time dialogue opens: fill in Name and Days, optionally the Percentage surcharge or Fixed surcharge, and click Save. The Save button is only enabled when the form is valid and you have made a change.

Q: I want an "Urgent 24h" lead time with a 20% surcharge.

A: Click Add, set Name to "Urgent 24h", Days to 1 and Percentage surcharge to 20. When a quote chooses this lead time, it will add 20% to the subtotal automatically.

Q: Can I have a Percentage surcharge and a Fixed surcharge at the same time?

A: Yes. If you set 10% in Percentage surcharge and €5.00 in Fixed surcharge, the system adds both: first the 10% on the subtotal and then €5.00 on top of the total.

Q: What is the Status toggle for?

A: It controls whether the lead time is available. On = it appears in the product and quote pickers. Off = it is hidden and cannot be chosen, but the lead time is not deleted (you can switch it back on whenever you want).

Q: I marked a lead time as Default on product and it is not applied when I create a product.

A: The Default on product toggle here is for information only. The real default lead time is configured in Customisation → Product Settings → Default delivery lead time.

Q: How do I switch off a lead time without deleting it?

A: Open the lead time with a double click (or from the list), set the Status toggle to off and click Save. It will stop appearing in the pickers but will stay in the catalogue.

Q: How do I copy a lead time I already have?

A: Select the lead time (or several) in the table and use the Duplicate option. It will ask for confirmation and create a copy that you can edit afterwards.

Q: How do I delete one or several lead times at once?

A: Select them in the table and use the Delete option. It will ask for confirmation before deleting them.

Q: The Import / Export button does not appear.

A: It is only visible if your user has import or export permissions. Ask your administrator for them.

Q: Why do I have a "To be advised" lead time that cannot be deleted?

A: It is a special system lead time that lets you enter the days and the surcharges by hand on each quote. If you delete it, you lose that manual option.
